Instruments are normally required to pass installation, operational and performance qualification at the buyer's site before payment, witnessed and documented, with calibration traceable to recognised standards. Where the laboratory works to an accreditation standard, the supplier inherits obligations from it -- traceable calibration certificates, documented maintenance, and method validation support. Bidders who price delivery and not qualification lose the difference.
The commercial trap is the consumable and the service contract. Columns, reagents, cartridges, gases and proprietary software licences can exceed the instrument price within a few years, and preventive maintenance visits, engineer response times and guaranteed uptime are priced separately once the warranty ends. Buyers who evaluate on instrument price alone tend to return to the market for the same instrument's running costs shortly afterwards, which is why whole-life models and committed price lists for consumables are now common bid requirements.
